Accounting and administrative offices

All your clients’ invoices, sorted on their own.

You drop the SRI XML files in a folder. The system reads them, separates them by client and by sales or purchases, and leaves them ready for you to file. No typing and no switching systems.

Concrete examples

The problem

Opening each XML, copying values and checking which client it belongs to takes hours.

Automation

Each document is read and logged in a sheet: client, sale or purchase, taxable bases, VAT and totals.

Operational result

Each client’s month on a single screen.

The problem

An invoice arrives from a tax ID nobody registered.

Automation

New-client detection: the system shows it and you decide whether it is your client.

Operational result

Its invoices are processed on their own from then on.

The problem

Invoice 1017 and 1019 are uploaded, and 1018 is missing.

Automation

Numbering is checked per client, with an option to mark an invoice as voided.

Operational result

A missing-invoice alert that disappears once you mark it voided.

The problem

Someone uploads a PDF or a photo instead of the XML.

Automation

The file is set aside in an errors folder with a plain-language explanation.

Operational result

Nothing is lost and you know what to do.

Important: The demo uses fictional data and does not replace accounting or tax validation by a professional. The system does not file returns or record official or banking transactions.

How it works

  1. You upload the XML files. You drop them in a folder in your Google Drive, like any other file.

  2. The system reads and sorts them. Every 30 minutes it checks the folder, reads each invoice and logs it in your sheet: which client, sale or purchase, taxable bases, VAT and totals.

  3. You review the panel. You see each client’s month on a single screen and file with complete information.

What it does for you

  • Classifies each document: invoices, credit and debit notes and purchase settlements, separated by client and month, as sale or purchase.
  • Detects new clients: if an invoice arrives from a tax ID not on your list, it shows it. You choose “Yes, they’re my client” and their invoices are processed on their own.
  • Tells you which invoices are missing: it checks each client’s numbering. If you uploaded 1017 and 1019, it tells you 1018 is missing. If it was voided, you mark it and the alert disappears.
  • Explains errors simply: if someone uploads a PDF, a photo or a damaged file instead of the XML, it tells you what happened and what to do.
  • Tracks your due dates: it calculates each obligation’s date from the ninth digit of the tax ID, considering weekends and holidays, and shows what is overdue and what is next.
  • Doesn’t duplicate anything: if the same invoice is uploaded twice, it recognizes it and doesn’t log it again.

Your panel, per client and per month

  • Sales and purchases of the month, compared with the previous month
  • Estimated VAT payable
  • Summary ready for form 104
  • Overdue obligations and next due date
  • Errors to review and missing invoices
  • Sales and purchases for the last 12 months in a chart
  • Top clients and suppliers of the month

Typical processes

  • Receiving electronic-document XML files
  • Classification by client, month and type (sale or purchase)
  • Duplicate control
  • Obligation due-date calculation from the ninth digit of the tax ID
  • Monthly summary per client

Information it handles

  • XML of invoices, credit and debit notes, purchase settlements
  • Client list (tax ID and name)
  • Due-date calendar
  • Error log and voided invoices

Sample rules

  • If the tax ID is not in the list, confirmation is requested before processing
  • If the same invoice arrives twice, it is not logged again
  • If a number is missing in the sequence, an alert is raised
  • If the file is not a valid XML, it goes to the errors folder

What needs human approval

  • Filing: a person does it, not the system
  • Confirming whether a new tax ID is a client
  • Marking an invoice as voided
  • Reviewing the estimated VAT

Your information is yours

Everything stays in your own Google Drive: the sheet, the folders and the XML files. We don’t store your data on any external platform.

We only see whether the automation is working. We don’t see invoices or your clients’ data. If you ever decide not to continue, you keep everything.

What you need

  • A Google account (Gmail)
  • The invoice XML files (the same ones you download from the SRI today or receive from your clients)
  • Nothing else: you install no software and don’t change how you work.

So there are no surprises

  • It doesn’t replace your accounting system. It saves you the earlier work: receiving, sorting and reviewing.
  • It doesn’t file for you. It leaves everything ready so you can file.
  • The panel’s VAT is an estimate. It does not include withholdings received or tax credit from previous months.

Coming soon

  • Reminders of due dates and missing invoices straight to your phone

Frequently asked questions

Do I have to learn new software?

No. Everything runs in Google Sheets, with a sheet prepared for your office.

What happens if I upload the wrong file?

The system sets it aside in an errors folder and explains what happened. Nothing is lost.

Can my assistants use it?

Yes. You share the sheet with them like any Google file. The parts that must not be touched are protected.

How long does installation take?

It depends on your office and how quickly you share access and a sample of XML files. We confirm the timeline before starting and support you through the first steps.

Can I see it working with sample data?

You can try the demo on this page, with fictional data, and ask us for a consultation to see the workflow with a sample sheet.
